About the Office Manager/ Exec Assistant role

 

CommerceBear is looking for a part time office manager to support our team and make our employee experience incredible. This role will work closely with our VP, People and Culture and our CEO to support the administrative functions in the organization.This role will spend some time remote and some time in our beautiful offices at Dundas and University. This role is a part time position (~10 hours per week) with opportunity for quick growth and advancement. 

 

As Office Manager/ Exec Asssistant, you will:

 

  • Procuring and managing computer hardware inventory

  • Managing access to the office with tenant services

  • Shipping Bear Swag to our team & our customers 

  • Maintain office supplies

  • Procuring CommerceBear swag

  • Keep our HQ Kitchen stocked

  • Organizing team events - monthly team lunch, exec offsite, team onsite, bi-weekly all hands

  • Taking notes and action item follow ups during weekly leadership meetings

  • Tradeshow scheduling & bookings

  • Travel bookings for CEO & team

  • Support CEO in general admin, creating documentation, and corresponding on his behalf 

  • Scheduling & meetings:

    • Booking meetings

    • Following up on meetings 

    • Scheduling board meetings 

 

Requirements for this role

 

  • Very organized and a high attention to detail

  • Motivated and keen to learn

  • Available to come into our office ~3 hours a week but flexible on timing (we can be flexible too!)

  • Open communicator - able to clarify priorities and speak up when you don’t understand

  • Great listener and note taker

  • Check twice, send once mentality
